Our stack for working well, anywhere

Tools and habits we use every day at the agency: communication, files, projects, security, Mac, and AI — a battle-tested balance for focused remote work.

Over time we’ve tried dozens of tools, changed processes, and dropped apps that looked great but were useless or too clunky in practice.

In the end we found a balance that works for us. Here’s how we work, every day, at the agency (Syncronika).

Communication

We use Slack. It’s fast, tidy, and easy to integrate.

Themed channels help us stay on top of things, and conversations stay findable. We invite clients into the relevant channels too.

Files, email, and calendars

We live in Google Workspace.

Drive for shared documents, Calendar to stay aligned, Meet for calls, and Gmail for email that doesn’t let us down.

Project management

Keep it simple: Trello.

Each project has its board; each task has a due date.

We like seeing progress visually, moving cards, and commenting in context.

Security and access

We use 1Password.

No rushed sharing on WhatsApp or in plain text. Every credential has a rule.

We’ve tried several password managers; for us, this is the most dependable.

Everyone on Mac

Flow, stability, integration: Mac.

We move fast and need tools that run without friction.

And of course… AI

ChatGPT, Perplexity, and the rest of an ecosystem that keeps evolving.

AI isn’t just a novelty — it’s part of how we work. It speeds things up, sparks ideas, saves time, and helps us think more clearly.

In short

We don’t use a tool for everything.

We chose the ones that actually help, that we use every day, and that let us work remotely with focus and real autonomy.

Every agency has its way: this is ours, and it’s well worn.

Leaving aside, for now, the vertical niche software that would deserve its own chapter, and the aggregated-data dashboards we build in-house.
